Privacy and data

Where your data goes, and what happens to it

Storage: Australia

Application records, documents, databases, backups and logs are hosted on AWS in Sydney and Melbourne. Council data is used only for delivering the service to your council. It is not used for other customers, for marketing or for publishing.

AI processing: the plain answer

myLot’s platform is independent of any single AI provider, and that independence lets us insist on the terms that matter.

Today, document analysis for Apply, Check and Assess runs through Google Gemini in the United States, under contractual arrangements with zero data retention, no access by the provider’s staff and no use of your data for training. Prompts and responses are not kept by the provider once the task is complete.

We disclose every provider and processing location to every council in our provider register. We say this plainly because councils ask, and because the answer is a good one.

Records stay onshore. Inference happens under zero retention. Nothing trains a model.

Minimising what the AI sees

For Enquire, personal information such as names, emails and addresses is stripped before anything is sent for inference. Only the proposed development facts and the exact planning controls for the site are used.

For Apply, Check and Assess, each planning control is assessed in a discrete, task-scoped model call containing only that control and the specific document pages that hold relevant evidence.

Beyond initial intake, no single call is exposed to the full application file or to unnecessary personal information. This limits exposure and makes every result explainable.

No training. Ever.

We do not train or fine-tune models. myLot uses foundation models as supplied, under enterprise agreements that prohibit training on customer data. Council data is never used to improve a model for your council or any other.

When you leave

Your data is yours. At the end of a contract we make everything available for extraction, then remove it completely, including backups, and confirm it in writing.

Our policies

Our Privacy Policy, AI Privacy Policy and Data Handling policies are public in the myLot trust centre. They are consistent with the Privacy Act and with state privacy legislation in the jurisdictions we serve.
